We are seeking a detail-oriented and organized Administrative Assistant to support our company's daily operations.
The primary responsibilities of this role will include efficiently handling supply orders for employees across our various branches as well as managing phone calls, and performing other administrative tasks as needed.
Job Description:
Coordinate and manage the ordering process for office supplies and equipment.
Monitor inventory levels and ensure timely restocking to maintain a smooth workflow.
Communicate with employees across multiple branches in TX, MD, WA, NC, and NY to assess their supply needs.
Ensure timely delivery of supplies to each branch, addressing any logistical challenges.
Answer and direct incoming phone calls Take accurate messages and ensure they reach the appropriate recipients promptly.
Assist in maintaining and organizing office files, documents, and records.
Support various administrative tasks such as data entry, scanning, and photocopying.
Assist with scheduling appointments, meetings, and travel arrangements if needed Communicate effectively with team members to ensure smooth operations.
Collaborate with different departments to facilitate interdepartmental communications.
Report any maintenance or facility issues to the appropriate department for resolution.
Requirements:
Proven experience as an Administrative Assistant or in a related role is preferred.
Excellent organizational and time management skills.
Strong attention to detail and accuracy in completing tasks.
Proficient in MS Office Suite (Word, Excel, Outlook, etc.
).
Effective communication and interpersonal abilities.
Ability to handle multiple tasks and prioritize accordingly.
Familiarity with office equipment and basic office procedures.
