Summary:
The Administrative Assistant assists the Chair and the faculty in the administration of the department with an emphasis on course scheduling and planning, assist with Faculty Loads, financial processes, taking and transcribing minutes, assemble statistical data, student support, interdepartmental relations and functions, daily office functions, and events.

The salary for this part-time position is $28,899.

Title Position Reports To:
Department Chair RESPONSIBILITIES & DUTIES:
1.
Provide senior level managerial and clerical support to the department faculty of 25, as well as the direct supervisor, department Chair.
2.
Compose and type standard correspondence, and draft complex communication.
3.
Screen telephone calls and schedule appointments for colleagues and visitors.
4.
Attend to current and prospective student and faculty queries.
5.
Make arrangements for registration, lodging, transportation and travel itineraries domestic and international.
6.
Organize and maintain correspondence and records; follow-up on pending matters.
7.
Assist with complex issues, often of confidential nature.
8.
Take, transcribe and distribute meeting minutes of conferences and meetings.
9.
Maintain online calendar for the department and set up all meetings for Chair.
10.
Plan, coordinate events and important functions (e.
g.
department meetings, visits by guests including speakers, job candidates, and external evaluators), utilizing all campus resources to ensure successful outcomes.
Submit contracts and file for payment of guest expenses and honoraria.
11.
Create and prepare all materials for Open Houses and other marketing events.
12.
Responsible for course scheduling and planning, inputting courses and course changes in eSAAS.
13.
Order supplies and instructional materials for 25 faculty.
14.
Monitor and reconcile department budget using the Excel spreadsheet located in eSAAS; prepare purchase orders, check requisitions and budget transfers.
15.
Manage student employees and peer tutors, including schedule and payroll.
16.
Act as liaison with the High School Program, DSS, College of Professional Studies, FCPE.
17.
Input Faculty Load reports.
18.
Provide program information including language requirements.
Also assist with placement, including the supervision of placement exams.
19.
Collect information from faculty each semester such as syllabi, final exams and assessment forms.
20.
Assemble complex statistical data and draft reports for the department as necessary.
21.
Assist with grants that require administrative support (PTS, Check req, etc.
).
22.
Perform other job-related duties as assigned by the Chair.
REQUIREMENTS:
Ability to prioritize workload according to volume, urgency, etc.
Good organization skills and attention to detail.
Good interpersonal skills.
Ability to handle multiple tasks effectively and accurately.
Ability to be discrete and maintain high confidentiality on a wide range of issues.
Good verbal and writing skills.
Knowledge of University policies and procedures.
Excellent knowledge of Windows, Microsoft Word, Excel, PowerPoint, Administrative Systems and Email.
Ability to work with students and colleagues in a diverse environment.
PHYSICAL REQUIREMENTS:
1.
Ability to sit at a desk for long periods of time.
2.
Ability to work on a computer for long periods of time.
3.
Ability to open drawers and file paperwork.
EDUCATIONAL/EXPERIENCE REQUIREMENTS:
Bachelor's degree required.
3 years of secretarial skills are required.
Bilingual preferred.

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
